CHECK-IN LOCATION: Please register and receive keys at the Forgotten Coast Property Management & Rentals office. We are located across the street from Toucan’s Restaurant, 710 Hwy 98 in Mexico Beach. Office hours during season (March - August) are Monday - Saturday 9 a.m. until 5:30 p.m. CST and Sunday 10 a.m. to 5 p.m. CST. During off season hours are Monday – Saturday 10 a.m. until 5 p.m. CST and Closed on Sunday. Sunday check-ins are always prearranged in off season. During pre-season (January - February) hours are Monday - Saturday 9 a.m. - 5 p.m. CST and Sunday 10 a.m. - 5 p.m. CST.
LATE ARRIVALS: If arriving after normal business hours, please contact our office the day before your arrival to make arrangements for key pick-up and registration.
PAYMENT: We accept Visa, MasterCard, Discover, and certified checks.
RESERVATIONS AND PAYMENT REQUIREMENTS: Tentative reservations are taken by phone, via our web site or in person at our office. All reservations require 40% payment at the time of booking and the remainder is due 30 days prior to arrival. On-line bookings are made via MasterCard, Visa or Discover at the time the reservation is entered. Phone and in person bookings may be made via MasterCard, Visa, Discover, or the booking will be printed on a reservation acknowledgement that is mailed/e-mailed promptly after your booking. If mailing in the booking payment we must receive it within 7 days or the reservation will be cancelled without prior notice.
SECURITY DEPOSITS: A security/damage deposit is required for all rentals that are not booked with a valid credit card. If paying by cash there will be a security deposit required of $500 that must be paid in full prior to check-in. The money will be refunded within 2 weeks of departure, given there are no damages to the property.
CANCELLATION POLICY: A cancellation fee of $200.00 plus tax will be charged if you cancel your reservation. Telephone the office as soon as possible in the event you must cancel, change dates or switch properties. Please note that if the reservation is cancelled within 45 days of arrival, we cannot refund your advanced rental payment. Once your reservation is confirmed, any cancellations/date or property changes will be subject to our cancellation policies. Sorry, no refunds for early departures.
DAMAGES: Please report any damage or breakage upon occurrence so the matter can be settled prior to your departure. All rental units are inspected before and after occupancies. Rental guests have full financial responsibility for misuse, negligence or missing items. A $25 charge will be assessed for lost or unreturned keys. $50 will be assessed for any lockouts after hours.
LINENS: An initial linen supply (one set of towels per person and one set of sheets per bed) will be provided.
MAXIMUM OCCUPANCY: At all times, the maximum occupancy is the number the home sleeps, including infants. Occupancy limits are in accordance with rules of the State Fire Marshall's Office. No exceptions will be made. Sleeping limits shown as (for instance) "accommodates 6 - 8" indicates the presence of a sofa sleeper. The maximum occupancy is the higher figure.
SMOKING: Smoking is not allowed in any rental unit. A $500.00 charge will be assessed for any property which must be smoke deodorized.
PETS: Must be declared at time of reservation. Most homes do not allow pets. Tenants with unauthorized pets will be asked to leave immediately with no refund. Units that do allow pets may require additional deposits and fees. Maximum 3 pets allowed. $100 dollars non-refundable deposit required for 1 pet and $50 for each additional pet plus taxes.
AGE REQUIREMENTS: We are very serious about maintaining a family atmosphere for the quiet enjoyment of our guests. We maintain a firm policy of renting to family groups, married couples and RESPONSIBLE ADULTS over the age of 25. Proof of age is required. Violation of this policy will result in immediate eviction without refund of rent.
NO HOUSE PARTIES, LARGE GROUPS, CAMPERS, TRAILERS or MOTOR HOMES: If the home is booked for these purposes without our knowledge, tenants will be asked to vacate premises immediately with no refund.
SIGHT UNSEEN AND FURNISHINGS: All of our properties are privately owned and are equipped and furnished according to the owner preferences. Rates, descriptions, bed sizes, inventories and furnishings are subject to change without notice. Refrigerators, stoves, microwaves, washer/dryer are in all units unless stated otherwise in the unit description. We make every effort to keep each property and its equipment in good working order. In the event of a breakdown, we will strive to make repairs as soon as possible. Neither the rental agent nor the owner will be obligated to provide replacements or give refunds for the failure or absence of any item or for any public utility. PLEASE DO NOT MOVE FURNISHINGS OR KITCHEN ITEMS TO ANOTHER UNIT OR TO THE BEACH!! If you rearrange the furniture and do not put it back to the original position you will be charged. Rental agent nor owner will not be responsible for providing any additional furnishings or appliances not already in the units.
INTERNET: Most of our homes have internet access. Please see property amenities if you are unsure. We DO NOT guarantee that the internet will be working. If the internet is down we will strive to get it up for you as soon as possible. There will be NO refunds for internet outage.
SUPPLIES AND APPLIANCES: Each home provides:
An initial supply of bed and bath linens, 2 rolls of toilet tissue per bathroom, bath soap, 1 roll of paper towels per kitchen and dishwashing detergent.
Kitchenware, dishtowel, utensils and dishes.
Air conditioning and heat are central unless otherwise noted.
At least one TV.
Full kitchen including microwave, oven and dishwasher, unless otherwise noted.
Washer and dryer, unless otherwise noted.
Some homes have grills. Charcoal grills are prohibited on decks, porches and balconies unless provided. Please see individual descriptions for amenities of each home. We cannot provide replacements or give refunds for these items or for small appliances. Some homes have elevators to accommodate physically challenged guests. Due to state regulations grills are prohibited on condominium decks and balconies.
Please note that sofa sleepers and hide-a-way beds are inherently uncomfortable. No refunds will be given due to the discomfort of these beds. If the number a rental unit sleeps is listed as (for example) "6-8", this would indicated that the recommended number the home accommodates is six, but eight will be accommodated by use of a sleep sofa. The higher number is the maximum occupancy allowed.
SWIMMING POOLS: We are not responsible for and do not guarantee the availability of swimming pools.
TENNIS COURTS: We are not responsible for the availability or conditions of the tennis courts and will not give refunds.
COMMUNITY RULES AND GUIDELINES: Additional guidelines and rules may be imposed by the specific communities and/or home owners associations.
ACCESS TO THE BEACH: There are many walk ways and easements to accommodate those not staying in a beach front home.
RENTAL HOMES FOR SALE: Rental homes may be on the market for sale. Owners reserve the right to allow the home to be shown during your stay. Guests will be notified 24 hours in advance.
CONSTRUCTION: The Forgotten Coast is a growing area and there is a chance that you will be located near construction. No compensation will be given because of construction.
RIGHT TO CHANGE RENTAL ASSISGNMENTS: We reserve the right to change rental assignments without prior notice or liability in the event of sale of a rental property or if the unit becomes unavailable. When comparable accommodations are not available, guests will have the option of selecting from available properties or receiving a full refund.
HURRICANE EVACUATION: In the event of a "Mandatory Evacuation" due to hurricanes, tropical storms or other potential disasters, you are required by state law to evacuate the property. You will be refunded for the unused days.
Things to Do Before Check-out: We ask our guests to please leave their home in the general condition it was found to avoid additional charges:
Turn AC to 80 during the Summer and 60 during the Winter when departing.
All dishes clean and put away to include cleaning the grill if used.
All food removed from refrigerator.
All furnishing placed in original position.
All trash in bags and placed in outside trash container at the street.
Close windows and lock the doors.
Check under beds, in drawers and closets for your personal items. We are not responsible for items left behind.
Keys must be returned to rental office at the time of check-out unless pre-arranged to leave in the unit.
AGENCY INDEMNITY: Forgotten Coast Property Management & Rentals, LLC is not liable for any damages to rental property or furnishings, or for injuries resulting from any accident that may occur in or on the premises during guest occupancy. The agent is not liable for acts of theft, vandalism or damages to the guest’s personal property or items left in the unit. We assume no liability for errors or omissions.
